Scheduling & jobs
Build your services, book them onto the calendar, and get the right people to the job — from the dashboard and, for your field team, straight to the Helprs mobile app.
Services vs. the schedule
Two pages work together, and it helps to keep them straight:
- Appointments is where you define your services — the types of work you offer (e.g. “Labor Only,” “Deep Clean”), with pricing and forms. This is what can be booked.
- Schedule is the calendar of actual booked jobs — a service placed on a date and time for a customer. This is when and who.
The building blocks
- Calendars organize your bookings — by team, location, service area, or specialization. A service is made bookable by assigning it to a calendar.
- Services carry the name, description, pricing (fixed or hourly), and optional deposit for a type of job.
- Forms capture the details a job needs, and attach to a service so they appear when it’s booked and on the worker’s phone.

Creating an appointment
From Schedule, click a date to open the scheduler. It walks you through the whole booking:
- Customer — pick an existing customer or add a new one.
- Service & calendar — choose what’s being booked and where it lives.
- Date & time — set the slot, whether it repeats, and when reminders go out.
- Location — the job address, plus any additional stops.
- Details — fill any forms attached to the service.
- Team — decide how workers are assigned (see below).
- Payment — take a deposit or payment now, or send a payment link.
- Confirm — review and schedule the job.
Assigning workers
When you build a job, you choose how it gets staffed:
- Manual assignment. Assign specific workers yourself from the dashboard. They’re notified and see it on their schedule.
- Self-assign. Leave the shift open and let workers claim it in the mobile app — first come, first served, up to the number of people you need.
- Assign later. Book the job now and staff it when you’re ready.
How the mobile app connects
Your field team works from the Helprs worker app, and it’s wired to the very same schedule you manage on the dashboard — there’s no separate list to keep in sync. The moment you book or assign a job, it’s on their phone.
From the app, each worker can:
- See their assigned jobs and any open shifts their company can claim, with times, locations, and details.
- Claim an open job (self-assign) or confirm a job you assigned to them.
- Clock in when they start and clock out when they finish — which records their time.
- Fill any forms attached to the job, right from the field.
New and assigned jobs reach workers as push notifications, so they don’t have to go looking. Assign a job and the right person knows in seconds.
The job lifecycle
Every job moves through a clear set of states:
A job can be Cancelled from Scheduled or Confirmed.
- Scheduled → Confirmed — the booking is set and confirmed.
- In progress — a worker clocks in and the job is under way.
- Completed — the work is done and the job is closed out.
